Creating a Booking

Create bookings from the Bookings page or the New Booking Quick Action on your dashboard. The multi-step form walks you through package selection, dates, guests, and optional add-ons.

Start a New Booking

From the Bookings page, click New Booking in the top right. This opens the booking creation form.

Step 1 -- Select Package and Variant

  1. Choose a Package from the dropdown. Only packages with at least one active variant appear.
  2. Select a Variant underneath the package. The variant determines pricing, duration, and guest limits.
  3. The price, deposit amount, and guided days auto-fill based on the variant and the applicable season.

Note: If no pricing exists for the selected variant in the current season, a warning appears. Add seasonal pricing from the Packages page first.

Step 2 -- Choose Dates

  1. Select the Check-in date using the date picker. The availability calendar highlights available dates and grays out blackout dates.
  2. The Check-out date auto-calculates based on the variant's total nights. For day trips, check-out matches check-in.
  3. If the variant specifies allowed check-in days (e.g., Saturdays only), other days are disabled.

Step 3 -- Add Guests

  1. Primary guest -- Search by name or email to find an existing guest, or click New guest to create one. The primary guest receives the booking confirmation email.
  2. Party size -- Enter the number of guests. This must fall within the variant's min/max guest limits.
  3. Additional party members can be added after booking creation from the booking detail page.

Step 4 -- Room Assignment

Room assignment depends on your lodge's room assignment mode:

  • Auto-assign -- Hookset picks the smallest available room that fits the party.
  • Lodge assigns -- You select a room from the available options.
  • Guest selects -- Room selection happens on the public booking page (skipped in dashboard creation).

Pro + Lodge: Room assignment only appears if your plan includes room management.

Step 5 -- Add-ons, Day Rates, and Gear

Optionally attach extras to the booking:

  • Day rates -- Guided fishing rates charged per trip day.
  • Gear rentals -- Equipment rentals charged per day.
  • Add-ons -- One-time extras like airport transfers or photo packages.

Each item's price is added to the booking total.

Step 6 -- Review and Create

Review the booking summary showing the total price, deposit amount, and all selected options. Add any internal Notes (not visible to the guest). Click Create Booking.

The booking is created with a status of Inquiry. The primary guest receives an email confirmation with their booking reference and trip prep form link.
