Overview
Hookset gives you three ways to handle room assignment for bookings. You choose the mode that fits your lodge's workflow under Settings > Booking Rules.
The three modes are:
- Auto-assign — Hookset picks an available room at booking time
- Guest selects — Guests choose their room during online checkout
- Lodge assigns — Room assignment is handled manually by your staff
Auto-Assign
When set to auto-assign, Hookset automatically selects an available room that fits the booking's guest count and date range when a booking is confirmed. The assignment happens immediately and is recorded on the booking detail page.
Best for: Lodges with interchangeable rooms where guest preference doesn't matter, or high-volume operations where manual assignment is impractical.
Note: Auto-assign respects room capacity, minimum nights, and turnover day buffers. If no room is available, the booking is flagged and you'll be notified to resolve the conflict manually.
Guest Selects
When set to guest selects, the public booking flow includes a room selection step after the guest chooses a package and dates. Available rooms are displayed with their name, capacity, bed configuration, and description.
Best for: Lodges where room type meaningfully affects the guest experience — cabins with different views, rooms with different bed configs, or tiered pricing between room types.
Tip: Write clear, specific room descriptions in Settings > Rooms so guests can make informed choices without contacting you.
Lodge Assigns
When set to lodge assigns, no room is selected during booking creation or checkout. The booking is recorded without a room, and a staff member assigns one manually from the booking detail page.
To assign a room manually:
- Open the booking from Bookings.
- Click Assign Room in the booking details panel.
- Select an available room from the list.
- Click Confirm Assignment.
Best for: Lodges that finalize room assignments closer to arrival based on group dynamics, special requests, or rooms becoming available due to cancellations.
Note: Bookings without a room assignment are surfaced on the dashboard and flagged in the occupancy calendar so they don't fall through the cracks.
Changing the Mode
You can change the assignment mode at any time under Settings > Booking Rules. The change only affects new bookings — existing room assignments are not altered.
