The Occupancy Calendar
The room occupancy calendar gives you a day-by-day view of every room in your lodge. Access it from Rooms > Occupancy in the main navigation.
Each room appears as a row. Booked date ranges are shown as colored blocks spanning the relevant nights.
What Each Block Shows
- Guest name — the primary contact for the booking
- Booking reference — click to jump directly to the booking detail
- Status color — the block color reflects the current booking status
Status Colors

Cancelled bookings remain visible on the calendar so you can see the full history of a room. Use the status filter to hide cancelled bookings if you want a cleaner view.
Spotting Conflicts
A conflict occurs when two bookings overlap on the same room on the same night. Conflicts are shown with a red border on the calendar block and trigger a warning banner at the top of the occupancy view.
Common causes of conflicts:
- A room was manually assigned to two bookings without checking availability
- A turnover day buffer was recently increased, causing previously valid back-to-back bookings to overlap
- A booking date was edited after the original assignment
To resolve a conflict, click the flagged booking and reassign it to an available room from the booking detail page.
Spotting Gaps
The occupancy calendar also helps you identify under-utilized rooms. Long stretches of empty rows between bookings may indicate a room that isn't being offered during a certain period, or that minimum night settings are blocking short-stay bookings.
Tip: If you notice a room consistently sitting empty around popular dates, check whether its minimum nights setting is filtering it out of search results. Lower the minimum in Settings > Rooms to increase availability.
Dashboard Heatmap Widget
The dashboard home page includes a room occupancy heatmap widget showing occupancy levels across all rooms for the next 30 days. Each cell represents one room on one day.
- Dark green — room is occupied
- Light green — room is available
- Gray — room is in a turnover day buffer (blocked for cleaning)
The heatmap is a quick-glance tool. Click any cell to open the occupancy calendar at that date for a detailed view.
Filtering the Calendar
Use the filters at the top of the occupancy calendar to narrow the view:
- Date range — jump to a specific period
- Status — show only confirmed, checked-in, or pending bookings
- Room — isolate a single room's history
