Setting Up Gear Rentals

What Are Gear Rentals?

Gear rentals are equipment items that guests can rent on a per-day basis as part of their booking. Common examples include fly rods, waders, wading boots, and rain gear. Rental charges are calculated by multiplying the daily rate by the number of days rented.

Creating a Gear Rental Item

Go to Settings → Packages and select the Gear Rentals tab. Click Add Gear Rental and fill in:

  1. Name — The item name as guests will see it (e.g., "Fly Rod & Reel", "Wader & Boot Set"). Keep it specific enough that guests know exactly what they are renting.
  2. Price Per Day — The daily rental charge for this item. This rate is applied per day of the trip.
  3. Description — Optional. Details about the item such as size options, brand, or any important notes (e.g., "Available in sizes S–XL. Please indicate your size in the notes field.").
  4. Quantity Available — The total number of this item your lodge has in stock. Hookset tracks how many units are reserved across overlapping bookings and will warn you when demand approaches your available quantity.

Click Save to add the item.

Adding Gear to a Booking

When creating or editing a booking, open the Add-ons & Gear section. Available rental items are listed with their daily rate. For each item a guest wants to rent, enter the quantity and the number of days. The line item total is calculated automatically.

Gear rentals are shown as separate line items on the booking detail page and on the guest's confirmation email.

Deposit Rules for Gear

Gear rental charges are included in the booking total when calculating deposits. If your package has a 25% deposit requirement, the deposit amount covers both the base trip price and any gear rental fees added at the time of booking.

Note: Gear rentals added after the initial deposit is collected do not automatically generate a new deposit request. You will need to record any additional payment separately or send the guest an updated payment link.

Tracking Inventory

The Quantity Available field is a soft limit — Hookset will warn you when a rental item is over-committed on a given date range, but it will not automatically block the booking. Review your gear commitments regularly during peak season to avoid conflicts.

Tip: If you have unlimited gear (or prefer to manage inventory outside Hookset), set Quantity Available to a high number like 99 to effectively disable the warning.

Editing and Removing Gear Items

To update a gear rental item, click on it in the Gear Rentals list and make your changes. Price changes apply to new bookings only.

To stop offering a rental item, use the Active toggle to hide it from the booking form. The item remains in the system for historical records.
