Adding Guides to Your Roster

Your guide roster is the list of all guides available for trip assignments. Add guides before using the Guide Board or auto-suggest features.

Adding a Guide

  1. Go to Guides in the sidebar.
  2. Click Add Guide.
  3. Fill in the guide profile:
    • First name and Last name -- Required.
    • Email -- Optional. Used for notifications if enabled.
    • Phone -- Optional contact number.
    • Status -- Active, Inactive, or Seasonal. Only active guides appear on the allocation board.
    • Specializations -- Select the fishing methods or activity types this guide excels at (e.g., fly fishing, spin casting, bass). These are used by auto-suggest to match guides to bookings.
    • Max guests per day -- The maximum number of guests this guide can handle in a single trip day.
    • Seasonal dates -- If the guide's status is Seasonal, set their active start and end dates.
    • Notes -- Internal notes about the guide (certifications, boat info, etc.).
  4. Click Save Guide.

Plan Limits

The number of guides you can add depends on your plan:

Tip: If you've reached your plan's guide limit, the Add Guide button is disabled. Upgrade your plan to add more guides.

Editing a Guide

Click any guide in the roster to open their profile. Update any field and click Save. Changes take effect immediately on the allocation board and auto-suggest.

Deactivating a Guide

Set a guide's status to Inactive to remove them from the allocation board without deleting their record. Inactive guides retain their trip history and can be reactivated at any time.
