The Guide Board gives you a visual overview of every guide's assignments across a week. You can make assignments, use auto-suggest, and spot scheduling gaps all from one screen.
Pro + Lodge: The Guide Board requires a Pro or Lodge plan. On the Free plan, assign guides from the booking detail page instead.
Board Layout
The board displays a weekly grid:
- Rows -- One row per active guide.
- Columns -- One column per day of the week.
- Cells -- Each cell shows the guide's assignment for that day (booking reference and guest name) or an empty slot if unassigned.
Navigating Dates
Use the date navigator at the top to move between weeks. Click Today to jump back to the current week. The current day is highlighted.
Making an Assignment
- Click an empty cell next to a guide's name for the desired date.
- The assignment panel opens showing unassigned trip days for that date.
- Select the booking you want to assign.
- Click Assign.
The cell updates immediately with the booking details.
Drag and Drop
You can also drag a booking from one guide's cell to another to reassign a trip day. This is useful when rebalancing assignments or when a guide becomes unavailable at the last minute.
Auto-Suggest
Click the Suggest button to have Hookset recommend guide assignments for all unassigned trip days on the visible week. The algorithm considers:
- Fairness -- Distributes trips evenly based on each guide's trip count for the month.
- Availability -- Only suggests guides marked as available for that date.
- Specialization -- Matches guide specializations to the booking's activity type.
- Rest days -- Respects the guide rest days setting.
Suggestions appear as highlighted cells. Accept each one individually or click Accept All to confirm them all at once. You can override any suggestion before confirming.
Fairness Tracking
Each guide's row shows their trip count for the current month. This is the number of trip days they've been assigned. Auto-suggest prioritizes guides with fewer trips to keep workload balanced.
Locked Assignments
Once a booking is Checked In, its guide assignments are locked on the board and cannot be changed. To modify a locked assignment, update the booking status first.
