Payment policies determine when balances are due and how deposits are calculated. Configure them in Settings > Policies.
Balance Due Days
The Balance due days setting (1-365) determines how many days before check-in the full balance must be paid. The balance due date is calculated as:
Balance due date = Check-in date - Balance due days
The default is 30 days. For example, with a July 15 check-in and 30-day setting, the balance is due by June 15.
This date drives the automatic balance reminder schedule.
Charge Full Balance Within Window
When this toggle is on, bookings created within the balance_due_days window require full payment upfront instead of just the deposit.
For example, if balance_due_days is 30 and a guest books 15 days before check-in, they pay the full amount at booking rather than the deposit amount.
Deposit Rules by Category
Configure deposit requirements for three categories:
Day Rates
- Percentage -- A percentage of the day rate total.
- Fixed amount -- A flat dollar amount.
- None -- No deposit required for day rates.
Lodging
- Percentage -- A percentage of the lodging total.
- Fixed amount -- A flat dollar amount.
- None -- No deposit required for lodging.
Gear Rentals
- Percentage -- A percentage of the gear rental total.
- Fixed amount -- A flat dollar amount.
- None -- No deposit required for gear.
The booking's total deposit is the sum of deposits across all applicable categories.
Tip: Most lodges set a percentage-based deposit on day rates and lodging (e.g., 25-50%) and no deposit on gear rentals, since gear is typically added closer to the trip.
