Adding Guests to a Booking
From the booking detail page, open the Guests tab and click Add Guest. You can search for existing guests by name or email, or enter new contact details to create a new guest profile.
The first guest you add becomes the primary contact. They receive booking confirmations and any lodge communications by default. Additional guests receive their own trip prep form links but are not copied on administrative emails unless you add them as a co-contact.
Tip: Always search before creating a new guest entry. If a returning guest already has a profile, linking to it preserves their booking history and enables preference carry-forward on their trip prep form.
Party Invite Link
Once a booking has at least one guest, a shareable Party Invite Link is generated. This link is included in the primary booker's confirmation email and is also available by clicking Copy Invite Link in the Guests tab.
The party invite link lets members of the fishing group register themselves without requiring the primary booker to collect everyone's contact details. When a party member follows the link, they complete a short join form and are added to the booking automatically.
This is especially useful for group bookings where the person who made the reservation isn't managing logistics for everyone.
Secure Individual Prep Form Links
Each registered guest — whether added by staff or via the party invite link — receives a unique, secure link to their own trip prep form. These links are:
- Individual — each person accesses only their own form
- Token-based — no Hookset account or password is required
- Time-limited — links remain valid until the trip date
- Private — a guest's responses are visible only to lodge staff, not to other guests in the party
Individual links are sent automatically by email when a guest is added to a booking. You can also copy any guest's link manually from the Guests tab to share via your own channel.
Adding Guests Manually After Booking
Staff can add guests to a booking at any time before the trip date. To add a guest from the dashboard:
- Open the booking from Bookings.
- Click the Guests tab.
- Click Add Guest.
- Search for an existing guest or enter new contact details.
- Click Add to Booking.
The new guest receives their trip prep form link by email immediately after being added.
Removing a Guest
To remove a guest from a booking, open their record in the Guests tab and click Remove from Booking. This unlinks them from the booking but does not delete their guest profile. Their trip prep form responses are retained in your records.
Removing a guest does not trigger a notification to the guest. If you need to communicate the change, do so directly.
Guest History
Hookset keeps a complete history of all bookings associated with a guest profile. If a returning guest books again, their previous trip information is accessible on the booking detail page and in the Guests section. See Guest Profiles and History for more on how guest records work across trips.
